There are circumstances where previously imported actuals data needs to be cleared and re-imported. This may be due to changes in mapping, structural changes to the forecast model, or out of balance issues arising from an earlier import.


When to Clear Actuals Data

Changes to forecast structureSignificant structural changes to the model can conflict with existing actuals data. Clearing first prevents these conflicts.
Incorrect initial mappingWhere the initial mapping contained errors, clearing allows for a complete and accurate remapping.
Adjustments to historical periodsWhere historical periods require correction, clearing the relevant data ensures accurate re-entry.

Options for Clearing Actuals Data

Castaway provides three options for clearing actuals data:

  • Clear actuals data for one month
  • Clear actuals data for all months
  • Zero out actuals data for a single row

Clear Actuals Data for One Month

  1. Go to Forecast > Actuals Data.
  2. Navigate to the tab you wish to clear (Balance Sheet Data, Profit & Loss Data, Other Data).
  3. Go to the month you wish to clear.
  4. Click the three-dot menu next to the column header and select Clear Column.
  5. Repeat for any other months you wish to clear.
  6. Click Save Changes.

Clear Actuals Data for All Months

  1. Go to Forecast > Actuals Data.
  2. Navigate to the tab you wish to clear (Balance Sheet Data, Profit & Loss Data, Other Data).
  3. Click the three-dot menu at the top left of the account name column and select Clear All.
  4. In the pop-up window, click Clear Data.
  5. Click Save Changes

Zero Out Actuals Data for a Single Row

  1. Go to Forecast > Actuals Data.
  2. Navigate to the tab you wish to clear (Balance Sheet Data, Profit & Loss Data, Other Data).
  3. Identify a row in the data that contains zero values across all months.
  4. Right-click that row and select Copy Entire Row.
  5. Right-click the row you wish to zero out and select Paste from Beginning.
  6. Click Save Changes.

This will replace the selected row's actuals data with zero values across all months.
