In a forecast, there are times when changes to your mapping impact how Actuals data is allocated. Additionally, your model may become out of balance after importing actuals.

To address these issues, you may need to clear the existing Actuals data and re-import fresh data. This feature is available in Castaway Cloud.

Here are some scenarios where clearing Actuals data might be necessary:

  1. Editing and remapping actuals: If you've edited or re-mapped actuals, leading to discrepancies and out of balance issues, you may want a fresh import, which requires clearing previously imported values
  2. Changes in forecast structure: When making significant changes to the structure of your forecast model, clearing Actuals data helps prevent conflicts with the new setup
  3. Incorrect initial mapping: If the initial mapping of actual data has errors or was done incorrectly, clearing the data allows for a complete remapping
  4. Adjustments to past periods: If historical periods need correction or adjustment, clearing previous Actuals data ensures accurate re-entry and updates

Options to clear actuals data

Castaway provides 3 options to clear Actuals data:

  1. Clear Actuals data for one month
  2. Clear Actuals data for all months
  3. Zero out Actuals data from a single row

Clear Actuals data for one month

  1. Go to Forecast > Actuals Data
  2. Select the month from which you wish to clear the Actuals data
  3. Choose the Clear Column option from the three-dot menu next to the column
  4. repeat this action if you need to remove other selected months

Clear Actuals data for all months

  1. Select the Clear All option from the three-dot menu at the top left side of the account name column
  2. In the pop-up window, click on Clear Data

Please note: the three-dot menu is not visible until you hover over it.

Please also note: you need to perform the actions in all three data entry screens: Balance Sheet data, Profit & Loss data, and Driver data in order to remove complete sets of Actuals data.

Zero out Actuals data for a single row

  1. Identify a row of data with zero values for all months
  2. Right click on the data row of the selected account and choose the "Copy Entire Row" option to copy the zero values for all months
  3. Right click on the data row of the account for which you want to zero out the data and select "Paste from Beginning"

This will zero the Actuals data for the selected account
