There are a number of ways to adjust how your main reports present themselves in Castaway, which flows through how they ultimately present themselves in Published Reports.
What to Report on?
This setting is critical to understanding how data is organised and presented in Castaway.
| Report on | Type | Data Layers |
| Projected | Live view of your data | Combined projected and actuals data layers, determined by the Active Actuals Month (AAM) selection, with your projection starting from your AAM’s opening balances |
| Budget | Snapshot | Your actuals and projected data locked in place for reporting and comparison, typically done at the start of the period without actuals |
| Forecast | Snapshot | A secondary snapshot updated with your latest actuals and projected data part of the way through the budget cycle |

When Saving a Budget, the snapshot of your data is based on your Projected view, including all the actuals before and including the current Active Actuals Month (AAM), and the projected data beyond that date.
Changing the Date Range and Display Columns
The date range determines what period you are reporting on. This can be changed in two ways:
- Choose the From and To months - click on the calendar icon
- Choose a Financial or Calendar Year - click on the dropdown
Changing Display Settings
The live view of the main KPI page in Castaway is the best way to assess the immediate outcomes of your KPI setup. Customise your view of this page by changing:
- Toggle the MTH / QTR / YR settings to show or hide these option
- Show Zero Rows
- Display Level options - Row expansion levels
- Show Total
- Negatives in Red
- Rounding options - $K, $M and Decimals
The Display Level options (Level 1, 2, 3 and Expand All) correspond to your CoA Structure and the sections and subsection within it. Every line can be closed manually by clicking the arrows to the left the name, allowing you to tightly control the display line-by-line.
Display Level
- Collapse all - collapse all your headings
- Level 1 - shows a basic overview
- Level 2 - allows you to display your sub-sections
- Level 3 - allows you to show your sub-sections within sub-section
- Expand All - shows all rows
Saving your Current View
Once you are happy with your display settings, click Save Settings to lock in the current view. The current view of each report is retained when reopening the report.
You can save multiple named views per report, each with their own display settings, and when exporting a report the display settings of the active view are retained in the export. For guidance on creating and managing saved views, refer to: Custom Report Views
Saved views can also be used when publishing a Report Stack, giving you fine control over how each report is presented.
Editing Rows and Adding Report Formulas
You can use the row editor in reports to add custom formulas and to hide / show the inbuilt total and percentage lines. To bring up the row editor, click Edit Rows.
Custom Formulas in Reports can only call upon data from within the same report, these can only be positioned at the top of the reports. To create Custom Formulas that can call upon any of your Projects financial and non-financial data, have a look at: Custom KPIs
Using the Report Formula Builder
The minimum requirements to build a Report Formula are:
- Name your Custom Formula
- Input a valid formula (the builder will inform you and only permit saving if valid)
- Click Save
