Overview

The Expense tab displays all GL codes from your connected accounting system identified as expense accounts. These are mapped across several headers in the Castaway chart of accounts: Direct Costs, Overheads, Other Expense, Depreciation, Interest Expense, Working Capital Finance, Income Tax, and Dividends.

Direct Costs and Overheads Headers

Map your cost and overhead GL codes here. The key mapping decision is element type — each has different default behaviours and modelling options.

Element types

Element Type Best Used For Key Defaults / Behaviours
Cost General expenses GST/VAT applied by default
Wages Employment costs No GST/VAT. Supports modelling of PAYG withholding, superannuation/pension, payroll taxes and different payment profiles per component
Inventory Cost of goods sold or utilisation of inventory Links to an Inventory element in the balance sheet
Provision Recognition of liabilities No GST/VAT. Provision type setting determines balance sheet reporting location (see below)

Cost, Provision and Wages element types can also be mapped under the Other Expense header. Inventory elements cannot.

Provision types

Provision Type Balance Sheet Reporting
Staff Reports under Provisions header
Other Reports under Provisions header
Doubtful Debts Reports under Trade & Other Debtors header
Inventory Writedown Reports under Inventory header

Other Expense Header

Lines under this header are partner elements — they appear automatically based on configuration elsewhere in the mapping process. You map your GL codes to them once they appear; you do not create these lines directly.

Line Appears when
Other Asset/Liability Expense An Other Asset/Liability element is created (Asset/Liability tabs)
Bad Debt Expense A Sales element is configured with a bad debts expense method (Income tab)
Inventory Write-off An Inventory element is created (Direct Costs or Overheads)

Depreciation Header

No lines exist under this header until Fixed Asset elements are created. Each Fixed Asset element created in the Asset tab automatically generates a corresponding depreciation expense line here for you to map the associated depreciation GL code to.

Line Appears when
Depreciation line (one per asset) A Fixed Asset element is created (Asset tab)

Interest Expense Header

The Interest Expense header contains an inbuilt line for the main bank account — this is always present. Additional lines appear automatically as further elements are created.

Line Appears when
Main bank account (Interest Expense) Always present — inbuilt
Additional bank account lines Each additional Bank Account element created (Asset tab)
Loan interest expense line (one per loan) Each Loans Payable element created (Liability tab)

Working Capital Finance Header

Two lines are always present under this header as inbuilt elements. Additional lines appear if an Inventory Finance element is created.

Inbuilt lines

Line Purpose
Debtor Finance (Interest) Always present — interest on debtor finance facility
Debtor Finance (Charges) Always present — charges on debtor finance facility

Partner Elements

Line Appears when
Inventory Finance (Interest) An Inventory Finance element is created (Liability tab)
Inventory Finance (Charges) An Inventory Finance element is created (Liability tab)

Income Tax Header

An inbuilt Income Tax element exists under this header in every Castaway file. Map your income tax GL code/s directly to this line — no element creation is required.

Dividends Header

An inbuilt Dividends element exists under this header in every Castaway file. Map your dividend expense GL code directly to this line — no element creation is required.
