Once you have connected your Integration Source you can use Mapping to build your Chart of Account in Castaway. 

We recommend using integrations to map your Chart of Accounts. This is the most efficient and accurate way to build your CoA from a direct integration (MYOB, Xero or Quickbooks) or an Excel Integration. If you have already manually built your CoA, then the mapping process will be connecting your data to your your existing elements.

Access the Mapping Screen by going to Forecast External Sources


What is Mapping?

Mapping is the process of connecting the accounts from your integration source to the Elements, the building blocks of Castaway. Data from your Integration Source will pull in to the Mapping Screen, where you can review your external source. Access the Mapping Screen by going to Forecast External Sources

Across the top of the Mapping Screen you can navigate between the different Account Types specified in your integration source. You are also given a mapping status indicator for beneath each Account Type

Within each of the Account Type tabs your Trial Balance data is organised into a data table with the following headings. These are sortable and the Spark Graph in the last column is navigable with the arrow icons.

Column Purpose
Link The mapping status of each account: Green - Mapped, Red - Unmapped, Blue - Archived
ID Account codes per your integration source
Account Account names per your integration source
Type The type of account per your integration source
Value The dollar value of the account on a specific month
Spark Graph A summary of values across the months - use the arrows to toggle between months

Mapping your Chart of Accounts

To begin mapping, click Map under 2. Map your Chart of Accounts on the left-hand panel. 

This space makes it easy to build your Chart of Accounts from your data source to Castaway using a simple drag-and-drop function to create elements, adopting your account names. You can map a single account or many at once to create new elements, or to existing elements.

To select multiple accounts use SHIFT and CTRL as modifier keys when clicking:

  • SHIFT for selecting a continuous range 
  • CTRL for selecting individual, non-contiguous items.

When mapping accounts to an existing element these will happen automatically When dragging elements onto a section header you will be presented with the following:

Clicking X:X icon will change the mapping option to X:1. Use X:X to map the accounts selected to their own element, use X:1 to map all the accounts selected to one element.

You MUST press enter to confirm each mapping. Click Save Mapping frequently to lock in your mapping progress.


Partner Elements

Partner Elements are similar to Inbuilt Elements, but are created when a corresponding and specific element is built first. This is part of Castaway's design as a 3-way modelling tool.

Similar to the Inbuilt Elements, you'll need to understand how these Partner Elements are generated and their corresponding relationship, so your model is set up well. Some common examples:

Element Partner Elements created as a result
Fixed Assets (BS) Accumulated Depreciation (BS), Depreciation Expense (P&L) and Gain on Sale of Asset (P&L)
Inventory (P&L) Inventory Asset (BS)
Loan (BS) Interest Income (P&L) and Interest Expense (P&L)

Structuring your CoA

The way you structure your elements in the Forecast will determine how they appear in your final reports. Sections and sub-sections can be added to tailor the appearance of your reports.

Checking your Mapping

To check an element's or account's mapping you have two quick options and the Mapping Data Report:

Check Element - Hover over the element and click the ellipsis option menu, click Mapped To

Check Account - Hovering over the green icon in the Link column will reveal the element

Bulk Review - Click Export Mapping Data icon to export to Excel

If you make a mistake, we recommend deleting the element(s), which will remove the mapping an ensure you have no 'empty' elements in your CoA. To do so, click the ellipsis icon and select Delete.
